A virtual assistant (VA) is a professional who provides remote administrative support to businesses and entrepreneurs. Rather than hiring a full-time in-house employee, you work with a VA on a flexible, retained or ad-hoc basis to handle tasks like diary management, email, document preparation, and more.
When you work with us, you pay for professional business support without the overheads of employing someone in-house — no employer National Insurance, holiday pay, sick leave or office space. You are purchasing expertise, capacity and reliability from an independent business, with the flexibility to choose ad hoc, monthly or weekly support as your needs change.

We're a fully remote business, meaning we can support clients anywhere in the UK. All our services are delivered virtually, so there's no need for us to be in the same location as you. We do occasionally travel for event management support when required.
Our virtual administration services cover general administration, document preparation, data entry, spreadsheet work, diary and inbox support, research, customer or supplier communications, meeting administration, general business support, short-term projects, invoicing/chasing debtors, and filing. We support corporate and professional events including planning, venue and supplier coordination, guest management, logistics and on-the-day coordination. Event planning is quoted separately following an initial consultation on a fixed-fee basis. Standard event-day support is £300 per day, covering up to eight hours of attendance on the day, with additional hours charged at the prevailing hourly rate unless otherwise agreed.
Yes. Project work can be delivered within an existing support package where it is proportionate to your allocated hours — for example coordination, planning, research, action tracking and stakeholder communication. Larger or clearly defined projects may be quoted separately on a fixed-fee basis, particularly where there is substantial responsibility, coordination or deadline pressure.
Monthly support packages have a minimum initial commitment of three consecutive billing periods. After that, either party may end the agreement with 30 days' written notice. Weekly packages have a minimum initial commitment of eight weeks, followed by 14 days' written notice. Ad hoc support has no retainer; the minimum booking is two hours, with further time charged in 15-minute increments.
Ad hoc work is invoiced after completion of the agreed work (or at an agreed billing point), with payment due within seven days. Monthly and weekly packages are invoiced in advance, and your support allocation becomes available once payment has been received. Urgent work is invoiced in advance and must be paid before the work begins. Payment is accepted by BACS bank transfer.
For monthly packages, unused hours may be carried forward for one additional billing period only. Rollover hours must be used in the following period, cannot accumulate beyond that, and are used before the current month's allocation; they cannot be exchanged for cash or refunded. Weekly hours do not routinely roll over, as the weekly allocation represents reserved capacity for that week. If we are unable to provide agreed support because of our own availability, affected hours will be rescheduled or carried forward by agreement.
We will discuss the most appropriate option with you. If you regularly need more support, you may move to a higher package. Alternatively, additional hours may be purchased at the prevailing ad hoc rate of £30 per hour, subject to availability and agreement before significant extra work is undertaken. Where practical, we aim to alert you when approximately 80% of your allocated hours have been used.
The Admin Studio is currently not VAT registered and therefore does not charge VAT. Prices shown on our website are the prices payable. If we become VAT registered in future, VAT will be charged at the prevailing rate from the effective date of registration and pricing may be reviewed accordingly.
Our standard working hours are Monday to Friday, 9.00am to 5.00pm. We do not operate as an emergency or same-day support service unless this has been specifically agreed. Work outside standard hours may be undertaken on request and subject to availability.
We will make reasonable efforts to accommodate urgent requests — for example where work requires significant reprioritisation, exceptional turnaround, same-day completion, or evening or weekend working. Urgent work is charged at the prevailing rate plus a 10% urgent-work surcharge. You will be advised of the surcharge before the work is undertaken wherever reasonably possible, and payment is required in advance.
Ad hoc bookings may be cancelled or rescheduled without charge where at least 24 hours' notice is provided. Where less than 24 hours' notice is given, a minimum charge equivalent to two hours at the prevailing ad hoc rate applies. For retainer clients, agreed minimum commitments and notice periods apply; if you end a contract during the minimum commitment period, remaining contractual fees may remain payable unless we agree an alternative arrangement at our discretion.
Once we've had a discovery call and agreed on the right package, most clients are onboarded and operational within one week. We complete a thorough onboarding process to understand your systems, preferences, and priorities before we begin work.
We'll walk you through everything in the onboarding process. Typically, we'll need access to your calendar, email system, and any relevant tools or platforms. We use a shared onboarding questionnaire to capture your preferences, communication style, and priorities before day one.
We adapt to your preferred communication tools. Most clients use email, Slack or Microsoft Teams. Time spent on client-related calls, meetings and correspondence counts towards your allocated support hours and is recorded in 15-minute increments. We also schedule regular review calls to discuss priorities and upcoming requirements.
